About This Role
The Gig
We're an established law firm with offices all over the West Coast, and we need an Executive Assistant to support our CEO and COO out of our Seattle downtown office. This isn't a remote or hybrid gig ; you'll be in the office five days a week, working directly with our top leaders.
You'll handle the stuff that keeps them moving: calendars, email, travel, events, and a healthy dose of the unexpected. This is a high trust role where discretion matters as much as efficiency.
What You'll Actually Do
- Manage end to end calendar scheduling for the CEO and COO ; proactively prioritizing meetings, preparing materials, and coordinating logistics so nothing slips.
- Book and track all travel: flights, hotels, car rentals, and any other reservations. Handle multiple trips at once without dropping the ball.
- Read through incoming emails, decide what's urgent, route what isn't, and coordinate the right responses or actions.
- Create, edit, revise, and proofread documents from handwritten notes, typed drafts, or electronic files.
- Help plan and execute company events ; from offsites to smaller functions.
- Manage expenses, invoices, and administrative processes with accuracy and on time delivery.
- Step in on personal tasks for the CEO and COO when needed ; package pickups, shopping, errands, that kind of thing.
- Tackle miscellaneous projects and special assignments as they come up.
- Serve as a trusted connector between teams, keeping communication smooth and everyone in the loop.
What You Need to Bring
- At least three years of administrative experience. If you've supported C level executives before, that's a big plus.
- Experience in a law firm or professional services environment is nice but not required.
- Strong writing and people skills ; you can talk and write clearly with anyone at any level.
- An insane attention to detail and the ability to juggle overlapping deadlines and priorities.
- You understand confidentiality and discretion aren't optional; they're essential.
- A service mindset ; you want to make leaders and teams more effective, and you're happy to do whatever that takes.
- Fluency in Microsoft Office and SharePoint. Not "familiar with" ; fluent.
- Interest in or experience with AI tools to automate the boring stuff and get more done.
Logistics
You'll work from our downtown Seattle office five days a week. This role is not eligible for regular hybrid or remote work. General hours are 8:30am to 5pm, 40 hours a week, but you'll need to flex on a semi regular basis for events, projects, or tasks that fall outside those hours. You need your own transportation to get to office locations, external spots, run errands, or attend social functions. Travel could be up to 25% of the time.
Compensation and Perks
- Salary range: $60,000 to $100,000 annually, depending on experience.
