You'd be the first dedicated operations hire for a growing employment law firm in Los Angeles, CA. They're scaling fast and need someone to install structure, systems, and accountability across everything. You're not just managing a department; you're defining how the entire firm runs. You'll report directly to the founder.
What you'll do
The core of this job is creating order and making sure things actually work. You'll own the systems that keep the firm moving.
- Build and document all the firm's standard operating procedures, workflows, and systems from scratch.
- You're in charge of their main workflow tool, Monday.com. That means keeping it accurate, training everyone on it, and auditing it regularly.
- A big part of the role is holding attorneys and staff accountable to using those systems and meeting performance standards. You'll monitor case progress and clear bottlenecks.
- Oversee all deadline tracking and firm wide calendaring. You'll need to build redundant checks so nothing gets missed.
- Manage the client intake process from first contact to assigning the case. Your goal is to make that pipeline efficient and track how well it converts leads.
- Run bi weekly team meetings to ensure communication is clear and follow through happens.
- Handle onboarding, create training materials, and support performance management.
- Track key business metrics; like revenue per attorney or case timelines; and report on them weekly to leadership.
- Lead operational projects, whether that's hiring for a new role, implementing a new system, or improving a process. You set the timeline and own the outcome.
- Oversee vendors, office operations, tools, and even settlement disbursements. You'll also coordinate with marketing and tech teams as needed.
- Act as an operational filter for the founder. Your job is to solve problems before they escalate; you only bring forward decisions that truly require their attention.
The kind of person we need
This isn't an entry level coordinator spot. They need someone who's done this before and knows how to operate in a professional environment where people are smart but busy.
- You've got at least five years in operations management. Experience inside a law firm or another professional services outfit is a huge plus.
- A bachelor's degree is preferred but not an absolute deal breaker if your experience is solid.
- You know your way around Monday.com already? That's a strong preference from them.
- You have a proven track record of holding high performing professionals (think lawyers or consultants) accountable to processes without damaging egos.
- Your project management skills are sharp; you can juggle multiple initiatives at once and see them through to completion.
- The mindset here is everything: highly organized, proactive, detail focused, with full ownership over your domain. If something's broken, you fix it without being asked twice.
The practical stuff
The schedule is hybrid based in Los Angeles, CA.
