Job Overview
This is a front line medical receptionist role based in Knoxville, TN. You'll be the first point of contact for patients walking into a clinic, handling check ins and scheduling. The work happens fast, and you'll need to keep things organized without losing your cool. It's a role that mixes customer service with basic admin ; no two days are exactly the same.
Duties & Responsibilities
- Patient check in and check out. Verify insurance details, collect copays, and update personal information in the system. Accuracy matters ; a small typo can cause big delays.
- Scheduling appointments. Manage the provider's calendar across multiple time slots. You'll juggle urgent walk ins with pre booked visits, all while keeping wait times reasonable.
- Handling phone calls. Answer patient inquiries about hours, directions, or prescription refill requests. Some calls are straightforward; others require you to transfer to clinical staff.
- Maintaining patient records. Scan documents, file paperwork, and ensure HIPAA compliance when handling sensitive data. This isn't just busywork ; it keeps the entire practice running smoothly.
- Assisting with office tasks. Order supplies, tidy the waiting area, and help out with billing or referral paperwork when needed. Every team member pitches in here.
Requirements
- Experience: At least 1 year working in a medical office or similar healthcare setting is preferred but not mandatory if you've got strong front desk skills elsewhere.
- Software skills: Comfortable using electronic health record (EHR) systems like Epic or Cerner after some training. You'll also need general proficiency with email and scheduling tools.
- Communication:Able to explain insurance terms to confused patients without sounding robotic. Empathy counts more than jargon here.
- Clerical accuracy:Catch errors before they become problems ; typos on forms or missed fields can snowball quickly in healthcare admin work .
