This Facilities Coordinator role is with US AMR Jones Lang LaSalle Americas, Inc., a company that blends real estate services with technology and advice. You'll be based in Chicago, IL and you'll provide on the ground support to both the client site and the Facilities Management team. Think of it as the person who keeps the daily operations humming ; maintenance, vendor stuff, supply management, and building relationships with the client. It's about making sure the expected level of service actually happens.

What You'll Actually Do Day to Day

  • Greet and direct visitors, employees, and contractors. You're the first point of contact, so you'll give them the lay of the land.
  • Handle reception duties, help with equipment maintenance and procurement, manage client relationships, and support building safety.
  • Keep detailed records of all visitor activity. Everything gets logged.
  • Walk through the office spaces, business centers, and connection cafés every day to check for cleanliness, organization, and supplies. If something's low or messy, you handle it.
  • Respond to work orders quickly ; there are KPIs to hit, and customer service is the priority.
  • Spot ways to improve things and make recommendations for cost savings or better practices.
  • Help with site inspections and assessments to make sure building procedures and performance measures are met. Safety for JLL and client employees is non negotiable.
  • Report any problems by submitting work orders, track repairs, and follow up until they're done.
  • Give vendors, facilities staff, and other service providers clear direction so work gets done smoothly without disrupting the client's operations.
  • Procure supplies for the business center and connection cafés ; inventory management and timely ordering are key.
  • Coordinate and support events and meetings in conference facilities. You'll be the go to person and the workplace ambassador for those setups.
  • Make sure AV equipment is working properly and support conference room systems.
  • Update and maintain records for the workplace services department, including facilities management, reception, and building operations.
  • Provide information and documentation for client web pages or the client facility manual.
  • Work with mail services, building security, property management, IT/multimedia services, and other support teams regularly.

Client Relationships

You'll assist the Front Desk, Receptionist, and FM team with room reservations and event coordination ; making sure client needs are met within the service scope. You need to comply with all client contract requirements and hit or beat the Key Performance Indicators. Client feedback will tell you if you're delivering exceptional service. You'll also monitor shared email inboxes to answer client inquiries quickly and thoroughly. Every site operation you coordinate must follow agreed policies, procedures, and client expectations.

What You'll Need to Bring

  • Prior experience in facilities, property management, hospitality, or a related field is preferred.
  • A college degree is preferred too.
  • Experience with visitor management systems.
  • Knowledge of local occupational health and safety requirements, critical facilities, and vendor management for specialized services.
  • You need to be proficient in Microsoft Office and comfortable with a range of IT tools and platforms.
  • Solid communication, organization, writing, client relations, inventory management, and problem solving skills.
  • The ability to work independently with little supervision. You also need to handle customer feedback well and keep the client experience positive and satisfied.
  • Self motivation and confidence ; you're not waiting around to be told what to do.
