Buyer / Procurement Specialist

About This Role

What you'll actually do

This is a project management and procurement role rolled into one. You own the full equipment life cycle from the moment a quote goes out to the day it's installed and paid for. You'll work hand in hand with Sales and Service to make sure nothing falls through the cracks.

  • Manage equipment orders from start to finish: sales quotes, order placement, receiving, invoicing, returns, job site evaluations, staging, inspection, and inventory
  • Monitor gross margin on every piece of equipment that goes out the door
  • Coordinate installation schedules with the Service Department, Equipment Specialists, Territory Salespeople, and the customer directly
  • Verify orders when they arrive from the manufacturer, tag equipment for inventory, and stage it for delivery
  • Procure all equipment from internal and external sources while keeping inventory levels smart and sourcing decisions sharp
  • Handle invoices, purchase orders, equipment files, credits, returns, finance documents, and UCC filings when needed
  • Keep warehouse inventory accurate through counting, reconciling, and using the right systems and tools
  • Work with outside lenders to confirm finance approvals and collect payments
  • Research price discrepancies between purchase orders and vendor invoices
  • Communicate professionally with customers and vendors and follow up when it's required

What you need to bring

You don't need a degree if you've got the experience. An associate's degree with a business or accounting focus is preferred, but two years of equivalent experience works just as well.

  • Solid organization, attention to detail, analytical thinking, problem solving, and collaboration
  • You've proven you can prioritize tasks and manage your time well
  • Good decision making and sound judgment
  • Strong written and verbal communication
  • You take initiative to learn and improve your skills within a branch team environment
  • Comfortable using technology efficiently

What would set you apart

  • At least one year of experience in the dental industry
  • Some project management or accounting background
  • Experience with Microsoft 365 and SAP CRM and ECC platforms
  • A genuine drive to keep learning and improving

The day to day realities

You'll be at a computer or using other office devices most of the day. Occasionally you might need to move packages up to 10 pounds ; think office supplies or small equipment. You'll be talking with coworkers, customers, and vendors in person, over the phone, and in writing. Reading and interpreting electronic and written documents is part of the job. The work environment is a standard office with desks, chairs, computers, and meeting spaces. No travel is required for this role.
