This isn't a desk job where you just file papers all day. This role runs the office at Girling Personal Care in Austin, TX ; you're coordinating administrative work, business operations, and a whole lot of daily logistics. You're the person who keeps the branch running smooth.
Schedule
Full time, Monday through Friday, 8:00 am to 5:00 pm. One shift, no weekends.
What You'll Actually Do
- Manage the branch phones ; take calls, make calls, follow up on everything, and log those calls in the case notes so the AWS Call Reports back you up. If you say you called or left a voicemail, the report better show it.
- Keep your emails and Teams open all day so you can respond to messages quickly.
- Cover critical clients when an aide cancels and no backup is available. You're the first person the branch asks to leave the office and go into the field during business hours.
- Handle missed visits in real time ; if a client cancels care, you cancel the shift, document it in case notes, and complete a Missed Visit Report immediately.
- Document every client complaint about their care, their aide, the office, or the agency in both the case notes and the Client Complaint Log on the R Drive. Include the client's insurance company and the resolution. Fill the whole log out.
- Recruit constantly. Manage candidate flow in ClearCompany daily using the company's 3 2-1 Recruiting Process: 3 text messages, 2 phone calls, and 1 email. The first person to contact, interview, and onboard the candidate gets the hire.
- Interview candidates to decide if they're hirable and a good fit for clients. If you want to move forward, explain the next steps: reference checks, criminal background checks, 2 year proof of residency, TB test requirements, and so on.
- Schedule and run compliant orientations. The orientation date is the hire date. Make sure every orientation meets compliance rules.
- Hire and start to meet monthly goals.
- Set up and maintain compliant employee files.
- Do boots on the ground recruiting at least once a week ; get out into the communities where staff is needed, hang flyers, and talk to people face to face.
- Schedule and attend job fairs.
- Call new employees after their first day to see how things went, then call again after three weeks.
What You Need
- High school diploma or equivalent.
- At least 1 year of health care experience in an office setting ; home care, home health, or hospice.
- Comfortable recruiting in the community every week.
- Good interpersonal, organizational, and communication skills.
- Adapt well when priorities change.
- Reliable transportation: valid driver's license, insurance, and a vehicle.
- Willing to cover shifts in the field when needed.
